Real Estate Administration Manager
Introduction
SmartUnit NV is a growing real estate company specializing in semi-industrial real estate in Belgium. From our office in Aartselaar, we manage a portfolio of various sites leased to more than 150 companies.
To strengthen our team, we are looking for a hands-on Real Estate Administration Manager who will help manage and further professionalize our real estate portfolio.
Your role
As a Real Estate Administration Manager, you combine administrative accuracy, financial insight, and organizational talent. You support the commercial, operational, and financial management of the portfolio and work closely with management, external partners, and tenants.
Your responsibilities
Portfolio administration
- Managing and structuring digital real estate and contract documentation
- Setting up and optimizing internal management tools
- Drafting and maintaining standard documents and templates
- Administrative processing of inspections, claims, and insurance files
- Submitting and following up on subsidies and tax appeals
- Preparing reports for management and the Board of Directors
- Providing information to external partners (including appraisers, auditors, banks)
Commercial Management
- Registration and follow-up of lease agreements
- Management of bank guarantees and sureties
- Follow-up of move-in inspections and handovers
- Support with commercial files
Finance & Reporting
- Preparing and sending rent and expense invoices
- Monitoring rent indexations
- Accounts receivable management and tracking payments
- Preparing payments
- Supporting the IFRS accounting of various group companies
Your profile
- Bachelor’s degree in real estate, finance, accounting, or business management
- 3–5 years of experience in real estate administration, property management, or finance
- Strong organizational and administrative skills
- Proficiency in Excel and digital tools
- Interest in real estate and financial processes
- You work accurately and in a structured manner, but think in a solution-oriented way
